Conference Headshots at Kingston Venues
Kingston offers an exceptional setting for conferences, academic events, healthcare meetings, and professional gatherings. Whether your event is taking place at Queen's University, the Isabel Bader Centre for the Performing Arts, St. Lawrence College, the Delta Hotels by Marriott Kingston Waterfront, the Holiday Inn Kingston Waterfront, or another conference venue in the region, our mobile headshot studio can be tailored to fit your space and schedule.
Before your event, we'll work with your organizers to identify the ideal location for the studio, considering attendee flow, available space, lighting, and your event schedule to ensure the experience feels like a natural part of the conference.
Conference Headshots as a Sponsor Opportunity
Conference headshots are an excellent addition to sponsorship packages because they provide attendees with something genuinely useful. Rather than a giveaway that's quickly forgotten, attendees leave with a professional portrait they'll continue using on LinkedIn, company websites, speaker profiles, and other professional platforms long after the conference has ended.
We'll also work with your organizers to incorporate sponsor recognition in a way that feels professional and complements the overall conference experience.

Conference Headshots in Kingston – Frequently Asked Questions
Can you set up a mobile headshot studio at our conference venue?
Absolutely. We bring a complete mobile headshot studio directly to your conference venue, including professional lighting, backdrops, and everything needed to create polished business portraits. Whether your event is taking place at Queen's University, a hotel, conference centre, healthcare facility, or another venue in the Kingston area, we'll tailor the setup to fit your space and schedule.
How long does each conference headshot take?
Most conference headshot sessions take between three and five minutes per attendee. Our workflow is designed to keep the line moving efficiently while giving every attendee enough time to create a professional portrait they'll be proud to use.
How much space do you need for conference headshots?
A dedicated area of approximately 12' × 12' is ideal, although we can often work in smaller spaces when needed. Before your event, we'll discuss the venue layout and help you identify the best location for the studio based on attendee flow, lighting, accessibility, and your overall schedule.
Can you photograph university conferences, healthcare events, and research symposiums?
Absolutely. Kingston regularly hosts academic conferences, healthcare meetings, research symposiums, and professional events. Our mobile headshot studio can be adapted for everything from smaller faculty gatherings and executive meetings to multi-day conferences welcoming attendees from across Canada.
Can you provide conference headshots over multiple days?
Yes. Many conferences take place over two or more days, and we can provide conference headshots throughout the event or on selected days. We'll work with you to create a schedule that fits your program and gives attendees plenty of opportunities to participate.
Do you professionally retouch every headshot?
Yes. Every selected image receives professional finishing, including natural retouching, colour correction, and final cropping. Our goal is to create polished, authentic portraits that still look like the individual—not an over-edited version of them.
How are the final images delivered?
Final images are delivered through a secure online gallery. Depending on your event, photographs can be sent directly to attendees or delivered to your organization using the workflow that best suits your conference.
Can we choose the background for our conference headshots?
Absolutely. We offer a selection of clean, neutral backdrops that work well for LinkedIn profiles, company websites, speaker biographies, and professional publications. In some venues, we can also create an environmental portrait using the location itself while maintaining a consistent look throughout the event.
Can conference headshots be included as a sponsor benefit?
Absolutely. Conference headshots are one of the few sponsor activations that attendees continue to benefit from long after the event has ended. We'll work with your team to acknowledge your sponsor in a way that feels professional while creating a memorable experience for attendees.
Can you photograph keynote speakers and VIP guests?
Certainly. Many conferences schedule dedicated portrait sessions for keynote speakers, researchers, executives, award recipients, sponsors, and VIP guests. We can photograph these individuals before, during, or after their presentation, or incorporate their sessions into the overall conference schedule.
When is the best time to offer conference headshots?
Conference headshots work well during registration, networking breaks, lunch periods, or as an activity available throughout the day. We'll help you determine the best timing based on your agenda and expected attendee flow. Many organizers also choose to keep the studio open throughout the conference, allowing attendees to visit whenever it fits their schedule.
Do you travel outside Kingston for conference headshots?
Yes. While this page focuses on conference headshots in Kingston, we regularly photograph conferences and corporate events throughout Eastern Ontario, including Ottawa, Toronto, Montréal, and other locations across Ontario and Québec. If you're planning a conference elsewhere, we'd be happy to discuss your event.
