Conference Headshots at Ottawa Venues
We regularly provide conference headshots at convention centres, hotels, universities, and corporate venues throughout Ottawa. Whether your event is taking place at the Shaw Centre, Infinity Convention Centre, Brookstreet Hotel, Rogers Centre Ottawa, the Canadian Museum of History, or another conference venue, our mobile studio can be set up quickly and adapted to the available space.
Every venue presents its own opportunities and challenges. We'll work with your team to identify the best location for the studio, taking into account available space, attendee flow, lighting, and the overall schedule to ensure the experience fits naturally into your event.
Headshots for Corporate and Leadership Retreats
A corporate retreat, board meeting or leadership gathering can also be a great opportunity to update professional headshots. With everyone already together in one place, we can set up a small mobile studio at your Ottawa-area hotel, meeting space or retreat venue and photograph your team around the day's schedule.
For smaller groups, we can allow a little more time with each person and can also discuss leadership portraits, team photographs or additional corporate photography during the gathering.

Can you set up a mobile headshot studio at our conference venue?
Yes. We bring a complete mobile headshot studio directly to your conference venue, including professional lighting, backdrops, and everything needed to create polished business portraits. Whether your event is taking place at a convention centre, hotel, university, corporate office, or another venue in Ottawa, we'll adapt the setup to fit your space and schedule.
How long does each conference headshot take?
Most conference headshot sessions take between three and five minutes per attendee. This allows us to keep the line moving while still giving each person individual guidance and enough time to create a professional portrait they'll be happy to use.
How much space do you need for conference headshots?
A dedicated area of approximately 12' × 12' is ideal, although we can often work in smaller spaces when needed. Before your event, we'll discuss the venue layout and recommend the best location for the studio, taking into account attendee flow, lighting, and privacy.
Do you photograph smaller corporate retreats and leadership meetings?
Yes. Not every on-site headshot session needs to be a large conference. Corporate retreats, board meetings, leadership gatherings and national team meetings can be an ideal time to update headshots because everyone is already together. We can adapt the session to your schedule, group size and location, whether you're meeting at a hotel, office, conference space or retreat venue in the Ottawa area.
How many people can you photograph during a conference?
The number of attendees depends on your schedule and how the headshot experience is incorporated into the event. As a guide, we can typically photograph anywhere from 20 to more than 100 people in a day while maintaining a relaxed, professional experience.
Do you professionally retouch every headshot?
Yes. Every selected image receives professional finishing, including natural retouching, colour correction, and final cropping. Our goal is to create polished, authentic portraits that still look like the individual—not an over-edited version of them.
How are the final images delivered?
Final images are delivered digitally through a secure online gallery. Depending on your event, photographs can be delivered directly to individual attendees or provided to your organization using a workflow that best fits your conference.
Can we choose the background for our conference headshots?
Absolutely. We offer a selection of clean, professional backdrops that work well for LinkedIn profiles, company websites, and business publications. In some venues, we can also create an environmental portrait using the location itself while maintaining a consistent look throughout the event.
Can conference headshots be included as a sponsor benefit?
Yes. Conference headshots are a popular addition to sponsorship packages because they provide attendees with a practical benefit they'll continue using long after the event. We can work with your team to incorporate sponsor recognition in a way that complements the overall conference experience.
Can you photograph speakers and VIP guests?
